What and for whom
What Solven is
Solven is software for installation, service, maintenance and cleaning companies. Survey, quote, scheduling, execution, invoicing and payment status sit on one job, for your own technicians and for hired contractors.
Features
What Solven does
Survey
The technician answers the questions of their own trade on site, with photos and measurements. Fourteen trades have their own set of survey questions.
Quote and approval
What the survey produced can carry over as quote lines; the office fills in the amounts. The customer opens the quote through its own link and signs digitally or declines with a reason.
Scheduling
One planning board for your own technicians and hired contractors, with double-booking checks.
On the phone
The technician sees their schedule and records hours, materials, photos, extra work and the customer’s signature on the phone, in the browser.
Work order
The work order has your own fields and quick texts, fault, cause and fix from your own list, and what has to be done before the technician can finish. A job spanning several days is signed off per day; travel time and mileage are kept apart from working time. Whether the technician co-signs and may create a work order on site is a setting the company switches on or off.
Invoice from the work order
Once the completed work order has been checked, the draft invoice is ready, from the hours booked and the materials used.
Contracts
A contract invoices per month, quarter or year. Each period the draft invoice is ready.
Customer portal
Customers see their quotes and documents in a secure portal, through an access link that expires and that they can renew themselves.
Keeping the customer informed
A confirmation when the job is scheduled, a reminder beforehand and a message when an appointment is cancelled go to the customer by email, if the company switches this on. The completed work order is in the customer portal.
Stock
Stock per warehouse and per van. A restock list shows what each van needs, and an article can be found by its EAN code.
Installations
Every installation has a card with a maintenance interval and a log. A QR sticker on the installation opens that card on the technician’s phone.
Subcontractors
An external contractor works in a separate, shielded environment and only sees the work assigned to them.
Importing data
You load customers, items, locations, installations, contracts and open work orders yourself, as a .csv or .xlsx file.
Accountant
Export files for the accountant or the accounting package.
Security
Every company works in its own, shielded environment. What someone sees depends on their role. Sign-in supports two-factor authentication.
